Not only will the Office Manager do whatever it takes to support our client's daily activities and keep him focused, but s/he will also have direct responsibility for various projects and initiatives. S/He must be action oriented, organized, possess strong anticipation skills and follow through with limited guidance, all while having the strength to speak up.RESPONSIBILITIES--- Act as the point of contact between our client and external clients, serving as the first point of contact for all email inquiries.--- Coordinate the busy, constantly-changing schedule, including reading and routing correspondence, setting appointments, preparing for meetings, making reservations, and overall support of key initiatives.--- Help our client stay on track with a variety of projects by researching topics, analyzing information, providing key insights and identifying strategic solutions.--- Execute and lead various projects and special assignments that range from minor to urgent.--- Effectively anticipate and put our client's thoughts and ideas into action.--- Manage contacts by email, phone and business cards.--- Record blogs and conversations for content purposes.--- Oversee and ensure efficient time management - both professionally and personally.--- Assist with the writing of letters, emails and documents, while also assisting with proofreading.--- Responsible for file management and personal documents.--- Track and help drive the completion of key deliverables by following up on outstanding items.--- Oversee general office management tasks to ensure the office is fully stocked, organized and presentable at all times.--- Coordinate travel logistics for meetings, events and out-of-town engagements.--- Always show the best customer service to all, internal and external personnel, clients, visitors, etc. --- Maintain confidentiality with both professional and personal information.--- Evaluate current technology and best practices - suggest changes and improvements where needed.6-12 MONTH KEY INITIATIVES--- Serve as a driving force in the business expansion efforts.--- Provide key support in the efforts to help the business "catch up".--- Help our client successfully "own" the visionary market.LEADERSHIP COMPETENCIES --- Strong Organizational Skills--- Project Management--- Strong Communicator--- Anticipation Skills--- Walk the talk--- Flexible--- Strong-Willed--- Action Oriented--- Creative--- Impactful--- Focused--- AdaptableATTRIBUTES & SKILLS--- Outstanding organizational and time management skills.--- Strong communication skills both written and verbal.--- Ability to work independently.--- Ability to learn quickly and adapt to new processes.--- Continuous improvement mindset, with the willingness to speak up.--- High degree of confidentiality and an ability to use discretion with sensitive information.--- Extremely dependable, accountable, punctual and professionalEDUCATION & EXPERIENCE--- High school diploma required. Associate's Degree or higher preferred.--- A minimum of 2+ years of Office Manager/Executive Assistant experience in a professional services environment required.--- Proficiency using: Word, Excel, PowerPoint, Outlook and Voice Memo tools.
